FAQ on How to Manage Boards After Class

Viewing and Accessing Your Boards: #

  1. Where can I see my boards?
    • Select “Login/Manage Boards” from Newline Engage Cloud and directly go to the listing of your boards
    • Select “Manage Boards” from the lower toolbar on your board to see the listing of all of your boards
  2. How can I access my students’ boards after the class has ended?
    • Find the board listing under “Manage Boards”
    • Click on “+” icon next to the listing to expand to see individual boards of all of your students
    • Click on the “View/Eye” icon next to the student board listing to join your student’s board for feedback or correction
  3. Is there a facility to create folders to categorize my boards?
    • Click on “Add Folders” at the top right of listing of boards under “Manage Boards” to create folders and sub-folders
    • Once created, drag and drop your boards to the folder/sub-folder

Managing Lifetime of Your Boards: #

  1. What is the lifetime of each board created?
    • This depends on your subscription plan
      • Educator Free: Each board created has 7 days of lifetime.
      • Starter: Each board created has 4 weeks of lifetime.
      • Basic: Each board created has 4 weeks of lifetime but you can select up to 20 boards to save indefinitely. Simply click on the “Bookmark” icon next to the board listing to save them indefinitely.
      • Gold: All of your boards are saved indefinitely. There is no lifetime. However, you still need to click on the “Bookmark” icon next to each board listing to avail this facility.
      • You must extend the life of the board by clicking on “Refresh” icon a few days before the board is to expire, otherwise the board will be deleted
      • Note: Student boards inherit their lifetime from instructor board. You only need to extend or manage lifetime of your own instructor board and associated student boards will automatically get the same lifetime.
  2. How can I extend the life of the board?
    • Click on the “Refresh” icon next to the board listing under “Manage Boards” to extend the lifetime.
  3. What happens when a board expires?
    • If a board reaches its expiration date, it gets deleted automatically and once deleted we have no means to bring the board back. Therefore please be mindful about the expiration date associated with your boards under “Manage Boards” and extend the life of the boards you wish to save for long term.
  4. Can I ever get back a board that has expired?
    • No. Once a board’s life expires, it gets deleted automatically. Once deleted, a board can not be brought back.

Downloading Your Boards: #

  1. Can all the boards be saved into one PDF file after the class has ended? How can I do that?
    • Yes. To save boards of all of your students boards, click on “Download” from the left side panel.
    • You will have an option to download only yours and as an instructor you have an option to download the entire class.
    • The boards will be downloaded as a single PDF which you can find in your download folder of your computer.
  2. Will students have access to their boards even after the class has ended?
    • Yes. This can work in two ways. If students have signed-up and have logged-in, they can use “Manage Boards” on the left side panel to save their board for future use.
    • If students have not signed-up, they can always use the invite link in the same browser/device to go back to their boards. By default all boards are auto-saved and hence accessible for 3 weeks.
    • If you need to access your boards for longer than 3 weeks, you can extend the expiry date by clicking on the “refresh” icon next to your board.
    • For longer duration storage, you can “export” your board (Tools →Manage Book →Export Board), save the downloaded file to your local computer safely.
    • Later, at the beginning of your next school year, you can use Tools →Manage Book → Import Board, point to previously saved file and import the board.
